Custom dashboards when off-the-shelf BI isn't enough

Custom dashboard development services for businesses worldwide

Per-seat licences, someone else's data model, and a dashboard that looks like every other vendor's. Fine for generic reporting. Custom builds take over when your KPIs, your data sources or your scale don't fit the template.

Your KPIs, your definitions

Calculated the way your operations define them, not the vendor's assumed model. Your loss codes, your cohorts, your business logic — baked in, not bolted on.

No per-seat maths

Full viewer access for everyone who needs it. One-off build cost, optional retainer — not a licence that scales with headcount for eternity.

Designed for your audience

Executive summaries, operational wall boards, embedded customer analytics — each designed for the people actually reading it, not a one-layout-fits-all template.

What we build

Four shapes the work usually takes — from wall-mounted ops boards to embedded customer analytics.

Operational dashboards

Real-time or near-real-time dashboards for ops teams, logistics, shop-floor and customer-support leads. Live data, drill-downs, and alerting on thresholds that match the way your operation actually escalates.

  • Real-time
  • Ops
  • Logistics
  • Drill-downs

Executive and KPI dashboards

Board-ready views for CEO, CFO and COO. Tight KPI definitions, cohort analysis, period comparisons — and the commentary layer that explains what the numbers actually mean, not just what they are.

  • KPI
  • Executive
  • Cohorts
  • Board reports

Embedded analytics

Dashboards that live inside your own SaaS product, white-labelled and permissioned per tenant. Your customers see their data, and only their data, rendered in your brand rather than a third-party viewer.

  • Embedded
  • Multi-tenant
  • White-label
  • SaaS

BI tool extension and replacement

When Power BI, Tableau or Looker runs out of runway — volume, customisation, cost per seat, data residency — a bespoke dashboard layer takes over, usually keeping the warehouse you already invested in.

  • Tableau
  • Looker
  • Replacement

Custom vs off-the-shelf BI

When Power BI or Tableau is enough — and when it isn't.

The honest version. Productised BI tools are the right answer for a lot of reporting. Custom dashboards win when your KPIs, your audience, your embedding story or your TCO at scale don't fit the template.

Time to first report

Off-the-shelf BI (Power BI, Tableau, Looker)

Hours to days. Strong for generic reporting on well-supported sources.

Custom dashboards from Software Clever

Weeks. Real engineering around your data model, KPI definitions and audience.

KPI and metric definitions

Off-the-shelf BI (Power BI, Tableau, Looker)

Vendor's calculation model with configuration knobs. Edge cases often need workarounds.

Custom dashboards from Software Clever

Your definitions, baked into the code — business logic, loss codes, cohort rules, edge cases.

Licence model

Off-the-shelf BI (Power BI, Tableau, Looker)

Per-viewer or per-creator subscription. Scales with headcount and compounds over years.

Custom dashboards from Software Clever

One-off build cost plus optional retainer. No per-seat creep.

Embedding in your product

Off-the-shelf BI (Power BI, Tableau, Looker)

Embed SKUs exist but often carry separate pricing and branding constraints.

Custom dashboards from Software Clever

Native to your app — your brand, your login, your multi-tenant permissions, no third-party iframe.

Data residency and ownership

Off-the-shelf BI (Power BI, Tableau, Looker)

SaaS hosting. Where the data lives depends on plan and region.

Custom dashboards from Software Clever

Deployed where you choose — your cloud, on-prem, hybrid. Full data access, full source.

Customisation ceiling

Off-the-shelf BI (Power BI, Tableau, Looker)

High up to a point, then the product pushes back. Deep customisation becomes services work.

Custom dashboards from Software Clever

No ceiling — you own the codebase and can extend it the way any other product is extended.

What you own at the end

Off-the-shelf BI (Power BI, Tableau, Looker)

A licence, contingent on continued payment.

Custom dashboards from Software Clever

The source, the data model, the deployment configuration, and the documentation.

How we work

Three steps, from KPI workshop to live dashboard.

  1. 01

    Discover

KPI workshop with the people who'll actually use the dashboard. We clarify definitions, data sources, update cadence, and who each view is for.

  2. 02

    Build

Sprints against real data. Working dashboards at the end of each sprint, weekly demos on the device or screen they'll live on, per-sprint invoicing.

  3. 03

    Grow

Handover with source, data model and documentation. Optional retainer for new KPIs, new audiences, evolving integrations — not a lock-in.

Common questions

What operators, founders and data leaders usually ask.

Scope and delivery

Why custom rather than Power BI or Tableau?

For a lot of reporting, you shouldn't. Productised BI is the right answer when your data sources are well-supported and your KPI definitions fit the vendor's model. Custom takes over when the template pushes back — per-seat cost becomes the biggest line item, embedded use cases need native UX, KPI definitions get workarounds, or multi-tenant permissions go sideways. We'll tell you which side of the line you're on at discovery.

How long does a dashboard take to build?

Varies with scope, data sources and audience count. A single-audience operational dashboard can ship in four to eight weeks; a multi-audience executive + embedded analytics platform is measured in months. Discovery is where we commit to a timeline.

Can we start with one dashboard and expand?

Yes — usually the right pattern. A first dashboard shakes out the data model, KPI definitions and audience habits with minimum risk. Later dashboards reuse the same data pipeline and component library, so each one costs less than the first.

Technical

What stack do you use?

React and Next.js are home ground for the dashboard UI; D3 and visualisation libraries sit on the presentation layer. For data: whichever warehouse, lake or database you already run — Postgres, BigQuery, Snowflake, Redshift, or bespoke. We pick the stack around the problem, not the other way round.

Real-time or batch?

Both are on the table. Near-real-time (sub-minute) is straightforward and usually what operational dashboards actually need; true sub-second real-time is a harder engineering problem worth choosing deliberately. Executive and cohort dashboards typically run on batch refresh and don't need real-time at all.

Can you embed in our existing product?

Yes. Embedded dashboards are a common scope — your brand, your auth, your multi-tenant permission model, rendered natively in your app rather than an iframe. We handle the per-tenant data isolation and the auth boundary so your customers only see their own data.

Commercials and ownership

How does the cost compare to Power BI per-seat licences?

Front-loaded vs back-loaded. BI tools start small and scale with headcount; custom front-loads the build and then flattens. Break-even depends on viewer count, viewer licence class, and how long you plan to run the solution. We can model it with your actual numbers during discovery.

What do we actually own at the end?

The source code, the data model, the deployment configuration, and the documentation. You can host it where you choose, extend it with your own engineers, or hand it to another developer to maintain.

Do you handle ongoing changes?

Yes, optionally. KPIs drift, business questions change, new data sources appear. Most clients keep an optional retainer for this — but it isn't a lock-in, and some take the handover and run it in-house.

Power BI stops where your data gets interesting. Custom dashboards start there.
